They are also responsible for Mitigation and Reconstruction team project coordination.DUTIES INCLUDE:* Welcomes visitors and provides assistance as needed and/or requested by management* Answers telephones promptly and efficiently and disperses calls and messages to appropriate parties in a timely, professional manner. Abides by company's phone etiquette guidelines and standards.* Monitors and maintain office equipment; inventory supplies and submits requests for additional supplies to the assets team as needed.* Supports project managers, field supervisors, and other staff as needed.* Great follow through and communication skills.* Monitor incoming and outgoing mail; receive and sign for mail/packages from couriers and deliver to the proper recipient.* Coordinates and schedules inspections for Project Manager and Field Supervisors.* Dispatches technicians to job sites to perform EMS work.* Completes and updates projects in Dash, XactAnalysis, and other software as directed by management* Monitors each project in the Dash's dashboard to ensure that all dates are entered accurately and that all projects are updated timely and consistently.* Assists Project Managers in communicating with adjusters, carriers, 3rd party administrators, etc.* Conducts stand up meetings each morning to gain knowledge on new and old projects and assists by updating boards and system as needed* Participates in Accounts Receivable meetings.* Complete permitting paperwork for projects timely and accurately. Maintains relationships with permit runners and municipalities to open and close permits as needed.* Schedules bank and city inspections.* Reviews timesheets written by field technicians for accuracy, processes and submits them to the accounting department.* Recruits new subcontractors and submits COI, WC, W9, and Signed Sub Agreement to the risk management team for review. Coordinate meetings between new subcontractors and the Project Manager.* Submits Encircle reports (photos) along with signed contracts and certificates of satisfaction to carriers for review and payment. Updates adjusters on projects we are working on to exceed client expectations* Follow up on active jobs and update jobs lacking interaction every 2-3 days.* Upload documents from the share drive to Dash and Xact.* Creates job folders for technicians and production teams and ensures to have sufficient copies readily available.* Call insurance companies to obtain adjuster information, approvals, etc.* Back up other essential staff as needed.* Assists with the training of new employees.* Communicates with customers, clients, and staff timely and accurately.QUALIFICATIONS:* Prior experience handling administrative responsibilities or related field* Must be computer literate with proficiency in, Microsoft Office (Word, Outlook, Excel) and other general computer software.* Experience working with Project Management Software (Dash), Encircle, and Moisture Mapper, a plus.* Must also have a functional understanding of handheld smart devices and an aptitude for learning new technology and all applicable software as determined. * Detail-oriented and able to multi-task while working in a fast-paced environment.* Ability to follow verbal and written instructions. * Ability to process emails and handle tasks timely, accurately, and professionally.* Highly organized multitasker who works well in a fast-paced environment* Willingness to learn and to grow with the company* Positive attitude and sense of urgency* Excellent written and verbal communication skillsEDUCATION And/or EXPERIENCEHigh school diploma; associate's or bachelor's degree in business, administration, or related field preferredCERTIFICATES, LICENSES, REGISTRATIONSMust have and maintain a valid vehicle operator's license.
