Job Description Come join MDVIP as an Implementation Operations Coordinator. This is a corporate based role, however a hybrid corporate office and work from home schedule may be available based on position and departmental needs. An Implementation Operations Coordinator performs administrative responsibilities with a focus on ordering event materials, supplies and stationery in support of a physician---s transition to the MDVIP model. This role is also responsible for scheduling and ordering a variety of member mailings through several vendors. Inventory responsibilities: Coordinate event material shipments and track the arrival of materials back to warehouse. Process shipments of event materials which include but are not limited to: personalizing supplies, scheduling orders, creating air bills and tracking the arrival of materials. Order, track, and notify internal/external team of physician---s initial collateral shipments and any replenishment requests. Coordinate ordering and delivery of various training materials and communicate status of shipments to internal/external team. Establish and maintain effective relationships, reliability and credibility with outside print, mail, fulfillment, and marketing vendors. Communicate with multiple vendors daily to ensure orders meet requirements; Resolve order issues and provides customer service related to backorder resolution, expedited requests, order modifications/cancellations, on-demand orders, and delivery methodology changes directly with vendors or UPS. Review and approve online physician stationery orders and name badge orders from collateral site and communicate with vendor when changes need to be made. Mailing responsibilities: Assist in coordinating affiliate member mailings by creating mailing campaigns in the Salesforce database. Coordinate post open affiliate mailings for various departments including, but not limited to Member Services and Physician Services. Follow guidelines to ensure the correct versions of letters and patient data are used. Create and maintain campaigns within Salesforce for mailings. Notify appropriate departments when mailings are delayed, cancelled, or pending information so they can adjust their schedules accordingly. Complete Implementation---s PO Log, indicating the vendor, price, and number of pieces for every mailing ordered. Review mailing data for inconsistencies and works with the PCC to update patient records in Salesforce. General administrative: Coordinate, monitor, and track orders for the Physician Recognition Program which include high ticket items gifted to physicians who reach anniversary milestones as affiliates or are retiring from the network. Responsibilities include communicating with physicians and external vendors to ensure order quality and provide high level customer services to alleviate order issues or exchanges. Provide customer service for all MDVIP Shop related orders. Ensure timely processing, quality control and support for customers report order issues or request product exchanges or returns. Provide general and administrative assistance to the team as needed. May support various team projects and initiatives. Implementation Responsibilities: The following items are general responsibilities of each person within the Implementation team. Proofread letters and mailings, checking contents for consistency, typographical, grammatical, or compositional errors. Establish and maintain effective relationships with internal staff, remote and field staff, and vendors. Identify and quickly communicate urgent issues and red flags to management. Participate in team activities such as brainstorming sessions, future project planning, training material development, SOP development, and process improvement initiatives. Provide internal team coverage during absence and/or reception coverage, if requested. Education / Experience / Knowledge : Associate degree or equivalent from two-year college and at least 3 years related business experience; or equivalent combination of education and experience where two years related experience equals one year of schooling. Related experience assumes a similar corporate role focused on administrative and vendor relations experience in a corporate environment. Quick learner and detail oriented Excellent written and verbal communication skills; Small group presentation skills a plus Superior organizational skills with the ability to prioritize multiple tasks, projects and assignments in a fast-paced, highly pressurized, rapidly expanding dynamic corporate environment Achieving deadlines with excellent precision Ability to identify, handle and resolve problems creatively while being driven by a desire for continuous improvement Self-motivated with the ability to work independently with little or no direct supervision Outstanding interpersonal skills and ability to work effectively in a team environment Computer Proficiency: Proficient in Microsoft Office applications. Able to learn new software easily. Corporate based roles: As a corporate based role in Boca Raton, FL, employees are expected to work from the corporate office.
