*MAJOR RESPONSIBLITIES: ** Oversee Legal processes: Open, organize and maintain electronic files for all litigation and otheradversarial matters, update and manage internal docket reports, create and maintain quarterlylitigation report(s) for auditors, and manage the legal billing process* Establish compliance and mitigate risk: Ensure all potential claims are promptly reported to theappropriate insurer and manages the preservation and litigation hold order process, liaising withpersonnel throughout the Company to identify, preserve, collect, and produce responsive materials* Lead litigation operations: Review, draft responses, and produce documents pursuant to third-partysubpoenas and requests for client and/or employee records, prepare and sends client terminationletters, and draft correspondence and other documents, including presentations and trainingmaterials. Review, investigate, and draft responses on behalf of the Company for consumer agencies,attorney general, and small claims matters; responsible for renewing and maintaining the Company'saccreditation with the Better Business Bureau and other consumer agencies* Assess and provide Legal support: Assist in-house attorneys with litigation and other adversarialmatters, including demand letters, administrative responses, and regulatory compliance, performinglegal research as required. Provide support to in-house attorneys across all legal functions, includingtransactional matters, as necessary and assigned* Performs other duties as required.*MANAGEMENT AND COLLABORATION: *--- Liaisons between Legal and other Company departments as well as outside counsel, insurance claimsadjusters, and others--- Collaborates with management in all functional areas of the Company, including Operations, Marketing,Sales, Accounting/Finance, Information Technology, and corporate leadership to ensure matters arecompleted timely and accurately--- Collaborates with various internal teams in support of updates to existing policies, procedures, and practicesLitigation Paralegal 2022.03 Page 2 of 3--- Collaborates with Operations and Human Resources departments on an extensive basis with respect tolitigation and adversarial matters*KEY MEASURES OF SUCCESS*:1. Effective management of litigation matters, including calendaring relevant deadlines, providing statusupdates for matters handled, and assisting both in-house and outside counsel with matters2. Ensures document retention requirements are met for all matters, including assisting with e-discovery anddocument gathering3. Ensures all relevant deadlines are met for matters that the Paralegal primarily handles with general oversightby in-house attorneys (i.e., small claims, consumer agency responses, and attorney general matters)4. Ability to streamline processes for more efficient and effective use of time5. Tracks, maintains, and/or improves response time for litigation and other adversarial matters*QUALIFICATIONS: *--- Bachelor's degree in a related field (Paralegal study certification a plus)--- Seven plus years litigation experience as a Paralegal in a corporate or law firm environment, with experiencein both preferred--- Some experience working with insured claims and insurance adjusters, especially with employment andpersonal injury matters, preferred--- Proficient in MS Office products (Outlook, Word, Excel, PowerPoint, Teams), Legal Tracker, HighQ, PracticalLaw, Adobe Acrobat, and online legal research--- Bilingual - fluency in Spanish and/or French preferred*KEY COMPETENCIES: *--- Excellent communication skills and ability to communicate with all levels of company employees--- Attention to detail and accuracy--- Ability to summarize and synthesize information, legal research, and court processes--- Proactive mindset and ability to anticipate departmental and/or in-house counsel needs--- Highly organized with ability to prioritize work as necessary and handle multiple tasks under tightdeadlines with significant adverse consequences if those deadlines are not met--- Ability to discretely handle highly confidential and proprietary information--- Ability to interact effectively with employees at all levels of the organization--- Ability to work independently and as part of a team, displaying a cooperative work style and positiveattitude with respect to problem solvingWORKING CONDITIONS:--- Office environment with potential hybrid or remote work schedule--- Required to have close visual acuity to perform an activity such as: preparing and analyzing data andfigures; transcribing; viewing a computer terminal and extensive reading--- Sitting stationary for long periods of time--- Keyboarding: entering text and/or data into a computer--- Requires working with computer systemHairClub is an equal opportunity employer, dedicated to creating an inclusive work environment for everyone.
