Job Description:
Responsible for the operation and efficiency of a computerized
maintenance management system (CMMS) work order and asset system
used throughout the town, including but not limited to the Grounds,
Facilities Maintenance, Water Resources, Engineering, Trash,
Sanitation, Marina, Par 3, Public Safety Fleet, and disaster
recovery divisions. Duties include data input, data integrity,
designing reports, forms, and manipulation of the program.
Accountable for maintaining the setup and administration of the
system, in-field tablets and system data maintenance in
coordination with Information Technology and vendor support and
modifying existing and formatting new data in a manner consistent
with the required framework structure and related systems.
Proactively trains users to ensure Public Works facility related
assets are incorporated into accurate asset trees, data formats,
job plans and frequencies associated with the work order system.
This position reports directly to the Town's Deputy Project
Engineer and must positively collaborate with all divisions in
Public Works to maximize efficient use of the CMMS.
- Manipulates work order management software in a manner that
ensures data integrity, maximizes efficient use of the system, and
supports asset data analysis
- Gathers information for assets, utility maps and other related
data needed to allow the asset data system to function effectively;
maintains data integrity; creates new codes when necessary and
modifies asset characteristics and descriptions.
- Researches and retrieves work and asset data needed for
maintaining the geographic information system (GIS)
application.
- Updates work management and asset information as new data is
received, relative to infrastructure maintenance and improvements,
including providing asset management software support and training
to department staff.
- Assists in producing and tracking work orders
- Monitors use of and troubleshoots in-field tablets and related
hardware, works with other as needed, such as Purchasing and/or
Information Technology staff, to conduct repairs, resolve issues,
or identify hardware replacements.
- Provides daily user support including routine troubleshooting,
establishment and maintenance of user profiles within the CMMS,
system and data maintenance for asset data analysis, working
closely with various divisions and Town stakeholders to address
specific requests.
- Manipulates and troubleshoots the CMMS to manage existing
templates and produce new forms.
- Produces standard and ad-hoc reports from the CMMS using system
available resources and other end user reporting tools.
- Maintains the Department's webpage using existing templates
within a web content management system (WCMS), ensuring formatting,
layout, and standards developed Town-wide are maintained.
- Processes and responds to the Public Works Department Public
Records Requests in a timely manner and in compliance with
applicable State and related exemption regulations.
- High school degree or completion of a GED is required .
- College coursework and/or degree from accredited institution in
Computer Science, Engineering Technology, Information Systems, or
closely-related field preferred.
- CMMS software training or certification, asset management
software training, and/or database management training, strongly
preferred.
- A minimum of two years of practical experience in design,
implementation, support and/or management of CMMS, work management
software or geographic information system, or closely-related work
required.
- Considerable knowledge of a CMMS, work order, or asset
management system (such as Cartegraph or Lucity), required.
- Asset condition monitoring for above and below ground asset
management programs
- Considerable knowledge of Microsoft Excel required; additional
knowledge of developing reports with formulaic queries in Microsoft
Access and/or Crystal Reports preferred.
- Methods of title searching and the principles and practices
regarding all property ownership and property transfers.
- Knowledge of the configuration and design of CMMS user
dashboards and related tabs on an ad-hoc or system template basis
preferred.Preferred Certifications include:
- Institute of Asset Management (IAM) Certification
- Infrastructure Asset Management program
- Knowledge of ISO 55000 Asset Management processes and
systems
- Operates a personal computer, inputs data, and produces reports
in a timely manner.
- Ability to format, maintain, and manage CMMS software to meet
department needs.
- Ability to input data quickly and accurately.
- Ability to develop various charts and graphs based on a
comprehensive understanding of data in order to be effective for
analysis and/or reporting.
- Ability to manage multiple programs simultaneously.
- Working knowledge of terms used in developing reports or
maintaining relational databases.
- Ability to communicate both orally and in writing.
- Techniques for dealing with a variety of individuals, at all
levels of responsibility, in person and over the telephone, often
where issues may be confrontational or strained
- Team orientation to effectively contribute to the
accomplishment of team or work unit goals, objectives and
activities.
