Description:GENERAL PURPOSE:Primary responsibility to answer main multi-line switchboard during assigned shift. Answers inquiries or directs inquires to appropriate parties. Provides administrative assistance as well as support to Human Resources.ESSENTIALS OF THE JOB - Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone and route calls as appropriate with a high level of customer service and positive demeanor - Answer all telephone calls internal and external; screen telephone calls; redirect calls as needed; take messages. Relay urgent or sensitive calls; follow-up to ensure proper response - Maintain recruiting calendar; coordinate, schedule, and arrange meetings on behalf of the Human Resources team; greet candidates interviewing on site and accompany them to the interview room. - Respect the privacy of employees and maintain the privacy of employment records - Maintain an orderly, logical paper and digital filing system to facilitate immediate retrieval of documents - Compose original correspondence, documents, reports and presentations as directed; edit for clarity; proofread for accuracy and appearance; copy, mail, scan, fax and/or overnight mail as needed - Update seating floor plan for new employees, separations and workspace changes - Answer inquiries or direct inquiries to the appropriate party according to company procedures - Exercise sound judgment in addressing and proactively managing daily business issues with minimal direction - Assist with orientation day onboarding - Create name plates for new employees - Sort, review and manage mail appropriately - Assist in purchase order requests - Scan employee documents into employee database Perform special projects assigned by Human Resources teamAdditional Skills & Qualifications:Job RequirementsEducation Requirements: - - Bachelor 's degree or equivalent experience preferred; high school diploma required. - Experience Requirements: - - Requires two or more years of administrative experience. Requires professional experience in working with senior-level executives within and outside the company, as well as customers, vendors, visitors, and others.Compliance Requirements:As a part of our Quality Systems and current Good Manufacturing Practice (cGMP) initiatives, employees are responsible for ensuring compliance with all ADMA Quality policies, standards, and standard operating procedures (SOPs) in their area of work and responsibility. This includes ensuring all Quality Assurance (QA) records and reports, Human Resources (HR) policies, and Environmental Health and Safety (EH&S) procedures and practices are completed in a timely manner. Any delay or failure to comply with policies, standards and procedures is required to be communicated/escalated to the appropriate responsible parties, such as QA, HR, or EH&S depending on the issue.Other Essential Knowledge: - - Possesses excellent oral and written communication skills - - Demonstrates highly effective interpersonal skills and the ability to continually demonstrate poise, tact, and diplomacy. - - Possesses very strong organizational, critical thinking, reasoning, and problem-solving abilities - - Maintains confidentiality on all levels at all times - - Maintains a proactive approach to all situations, with the ability to anticipate problems and comes up with appropriate solutions. Exercises sound, independent judgment. - - Demonstrates proficiency in Microsoft Office programs - Working Conditions: - - Sits at desk using computer and talking on the telephone/internet 75% of the time using hearing and finger dexterity; 25% of the time stands and walks to other departments to complete tasks. - Stressors: - - Fast paced, multi-task position with constant interruptions and high volumeExperience Level:Expert Level
